Refund Request Procedure

All refund requests must be submitted in writing—either in person, by regular mail, or by email. Refunds will be processed within 30 calendar days from the date of receipt of the request.

Refunds are issued by check and made payable to the original payer (student, sponsor, or agency). Students may either pick up their check in person or request delivery by mail. If mailed, a delivery fee will apply. POLY Languages Institute uses only courier services that provide tracking to ensure secure delivery.

If a student applied through an educational agency, the refund will be issued to the agency unless the agency instructs otherwise in writing.

Basis for Refund Calculation

Refunds are calculated based solely on the amount of tuition actually received by the school, minus any applicable fees. Discounts or promotions applied at the time of payment will be forfeited upon withdrawal, and standard published tuition rates will apply to calculate the refund amount.

Student’s Right to Cancel

Students have the right to cancel their enrollment and receive a full refund of all charges paid through attendance at the first class session, or the seventh calendar day after enrollment, whichever is later.

If cancellation occurs after the first class session, a cancellation fee of $150 will apply.

Withdrawal After Start of Term

For withdrawals after the cancellation period:

  • Tuition refunds are prorated on a weekly basis based on the number of weeks attended.
  • No refund will be granted if the student withdraws after completing more than 75% of the course (i.e., after 3 weeks in a 4-week term).

Early Withdrawal Fee (F-1 Students Only)

All F-1 visa students are required to attend at least two terms (8 weeks) upon initial enrollment. If an F-1 student withdraws early, an Early Withdrawal Fee of $350 will apply.

Recruiting Fee (F-1 Students Through Overseas Agencies)

For F-1 students who applied through an overseas educational counselor or agency:

  • An additional Recruiting Fee equal to 35% of the initial period’s tuition will be charged in the case of early withdrawal.
  • This fee applies only to new students enrolling from overseas. It does not apply to continuing students or self-initiated transfer students.

Unclaimed Balance

Any unclaimed refund balance remaining after 180 days from the student’s last date of attendance (or scheduled start date, if the student never attended) becomes the property of POLY Languages Institute.
